The Vice President for Secretariat and Documentation (VPSD) is in-charge of preparing and maintaining the organization’s official records and documents. She documents attendance and discussed agendas in Executive Board meetings, and gathers agendas to be discussed as well as disseminates them to members of the EB for upcoming meetings. She is responsible for creating and maintaining the official database of members of the organization, their membership points and status included, as well as managing online groups of the organization. Lastly, she cooperates with the President in preparing the YES Report of the organization.

Yearly Status Assessment
- Members who fail to accumulate at least 50% of the highest possible number of points that may be accumulated throughout the first semester of the year will be given a notice of ENDANGERED status.
- By the end of the school year, all members, regardless of status, must have accumulated at least 40% of the highest possible number of points that may be accumulated throughout the year
- If any member fails to do so, he/she will be given formal notice of EXTINCT status. This member may only join BOx in the following year after submitting a letter of appeal to [email protected]. The member will henceforth be placed on probationary status for the duration of the year.
Probationary Status
- When a member is under probation, he/she can still join the organization and still receive the same benefits as a regular member.
- A member who fails to acquire the required 40% at the end of his/her probationary year may be declared ineligible for membership in the next school year based on a deliberation by the EB after he/she submits a letter of appeal explaining the circumstances of his/her inactivity.
- Graduating members with probationary status: he/she must acquire 50% of the highest possible number of points in the first semester to be eligible for membership certification
